NAME OF POSITION: Internal Communications Manager


PERSON’S SENIOR: Director of Communications


PURPOSE (The reason why this position exists): To ensure that documents and communication is delivered quickly and without interrupting the workflow of the person who is receiving them so that the company can produce and expand. 


VIEWPOINT (The viewpoint that an employee should have to be successful at the job): That communication whether written on paper or digitized must be swift accurately routed.


COMPUTER SKILLS REQUIRED: 

Google suite, Microsoft Office products (word, excel), E&H Matrix, ability to operate scanner and printer, conduct rapid Google searches, understanding of files, documents and organizational basics


SKILLS REQUIRED: 

Time-management, organizational skills, attention to detail, adaptable to changing systems and work-flows, able to learn quickly, solution-oriented, careful and precise admin, high aptitude, very articulate, excellent communication skills. 


RESPONSIBILITIES OF THE POSITION:

  • Monitoring the comm system and making sure that items get picked up after a reasonable amount of time

  • Responsible for maintaining the name/title labels on each comm basket with the proper font/style

  • Making sure that digital forms of communication are appropriate, timely and useful. 

  • Receiving and sorting the mail daily per the “Post and Packages Hat.”  

  • Making sure that there are adequate supplies for sending items via the U.S. Postal Service or UPS. 

  • Maintain friendly relations with the U.S.P.S. personnel who service us. 


ACTIONS:

  • Checking the Comm Center to make sure that all is delivered. 

  • As needed, updating the labels on the comm baskets when staff arrive to or leave the company. 

  • Make sure all phone extensions are up to date and a list is distributed. 


Daily Actions:


  • Sort through and route mail to proper terminals

  • Making sure that both Janine and AnneMarie receive their mail in an accurate and timely manner. 

  • Ensure that any outgoing mail is properly labelled, stamped, etc. and either in the out basket for the morning mail or taken on the afternoon run to the post office. 

  • Give Treasury the receipts for mail when appropriate.



Valuable Final Product: Communication in all its forms delivered swiftly and accurately allowing Equity and Help to produce and expand.
