NAME OF POSITION: Bill Payment Manager
PERSON’S SENIOR: VP of PI Treasury
PURPOSE (The reason why this position exists):
To ensure the property taxes for each property is paid timely to ensure our protection of our assets and to make sure we have and pay timely for property insurance and ensure we are aware of code violations and get the fines paid.
VIEWPOINT (The viewpoint that an employee should have to be successful at the job):
To care enough to protect the company in regards to needless spending of fines and penalties or to risk losing an asset due to failure to pay.
COMPUTER SKILLS REQUIRED:
The use of spreadsheets and emails.
SKILLS REQUIRED: _A head for figures and the affinity for admin comes in handy. The ability to keep track of numerous properties and keep the execs apprised of the current situation so they can make sane decisions. Willingness to call the City and get further data when needed or supply data.
RESPONSIBILITIES OF THE POSITION:
To ensure each property tax bill is accounted for and paid on time.
To pay the property insurance bill timely.
For each code violation notice I get it may require calling the city for more info or to let them know what we are doing about it. A ticket may be required to submit to Property Preservation if work needs to be done.
Getting the purchase orders submitted so all fines and penalties are covered
WEEKLY ACTIONS:
Read through the code violation notices, scan them into the computer and file in the Central Property Folder.
Determine if this is a family occupied home and send the data to the family as they would be responsible.
If vacant, Property Preservation is informed so they send a vendor out to repair damage or just mow the lawn.
If needed, a PO is submitted to pay the current fine.
Any utility bills are forwarded to Janine. Any assistance she needs to handle them, I provide for her.
Log the property tax bills by due date and log onto the tax sheet once paid. Keeping track of what property gets a bill, which ones have been paid and which ones are still outstanding.
